Studio Policies 2025/2026
The following Terms and Conditions apply to all lesson agreements made between Making Music Academy (MMA) and its students and the parents/guardians of its students (“Members”).
1. COMMUNICATION
1a. All correspondence is sent out to Members by email and socials. If you find that you are not receiving emails from MMA, please let us know.
1b. It is the responsibility of the Member to make MMA aware of any changes to their contact details. MMA will not be held responsible for any missed communications, late/overdue payments, missed lessons, etc. if this is due to incorrect contact information.
2. MEMBERSHIP FEES AND PAYMENT
2a. All lessons are automatically charged monthly through our registration program, Opus1.io, on the first day of the month. Students who start lessons after the first week of the month will pay a prorated amount for their first month of lessons. Your monthly fees serve as a means to reserve your regular lesson time.
2b. Monthly membership fees for private lessons, and group sessions include a minimum of 35 weekly lessons in a calendar year, conveniently divided into 10 equal monthly installments. Holidays and planned closures are accounted for in the lesson count along with an extra buffer for unplanned closures/snow days. MMA will be closed for holidays as noted on the calendar, and all planned closures are figured into the monthly rate regardless of the number of lessons in a given month.
2c. There is a yearly administration fee of $20 for each student enrolled.
2d. A Member who is paying full-price membership is entitled to a 15% discount for any additional family members.
3. DURATION OF THE LESSON AGREEMENT - ONGOING
3a. The lesson agreement between MMA and the Member is a rolling agreement that continues monthly unless membership is canceled by the Member.
3b. Initial Term Commitment
To help every child start their musical journey with confidence and joy, all registrations at Making Music Academy—whether for a class or private lesson—begin with a three-month minimum commitment. This applies to families who are brand new, those returning after a break, or students beginning a new program.
The first three months provide the time and consistency children need to settle into the class routine, build confidence in their foundational skills, create meaningful social connections, and begin fostering a true love of music in a welcoming and supportive environment.
After this initial three-month period, enrolment becomes flexible on a month-to-month basis. Families may cancel at any time with 30 days’ written notice. If cancellation is requested during the initial three months (e.g., at the two-month mark), the enrolment will continue until the end of the three months, with no further notice required.
* In special circumstances, requests to modify the three-month commitment may be submitted in writing and will be considered on a case-by-case basis.
4. GROUP CLASSES
4a. Mini Musicians, Little Harmonies, Piano Singers – Should the Member wish to cancel their attendance for the day at any particular group classes for which they have enrolled, they must cancel their attendance through their Opus1.io account at least twelve (12) hours before the scheduled class in order to attend another group class as a makeup. Three consecutive absences from a class may result in removal from that class.
4b. Mini-Music Makers (Ages 0-9 months, 9-18 months, 18 months-3 years, 3-5 years, Family Jam 0-5 years) – No make-up lessons or credits will be provided for a student’s absence from a tots class or group class. If notice of sickness is given in writing at least twelve (12) hours before the start of class, families can email to arrange to attend another class on another day, pending on sufficient space. There is no guarantee space will be available.
4c. Group Class Cancellation – MMA reserves the right to cancel a class in the event that a teacher is unavailable to teach or enrollment is too low. If a class is canceled, students are encouraged to enroll in a similar class at a different time.
4d. Inclement Weather/Unavoidable Cancellations – There will be no make-up classes offered by MMA for any classes due to events out of its control such as weather, power outages, fires, etc.
4e. Teacher Absence – In the event a teacher is unavailable to teach a scheduled class, a make-up lesson will be scheduled by the teacher.
5. PRIVATE LESSONS
5a. Absences – We value and support our dedicated teachers, so in an effort to give them a consistent schedule we only offer one makeup session for a student's missed lesson. If you need to miss a private lesson, please cancel that lesson in your Opus1.io account at least 12 hours before lesson time in order to receive a makeup. Failure to cancel lessons in writing 12 hours in advance will result in a forfeited lesson and no makeup lesson will be granted.
5a.i. After one makeup lesson has been completed, any additional student missed classes will be supported with a Home Study* lesson plan for your child to enjoy and work through at home.
5a.ii. In the event a teacher is unavailable to teach a private lesson, a make-up lesson will be scheduled by the teacher at a mutually agreeable time.
5b. Unavoidable Cancellations – If MMA cancels any lessons due to events out of its control, a Home Study* lesson will be provided to private students.
*Home Study - Work assigned to the student to work on at home. This work is specifically designed for the student by their teacher. The teacher will create work for their student to complete at home relating to their current studies if a student has missed a scheduled lesson.
6. DROP-OFF AND PICK-UP
6a. Parents/guardians are permitted to drop off students for lessons/classes but are required to return for pick-up before the end of the lesson/class. MMA cannot guarantee that a staff member will be available to monitor students who are left unattended in the lobby and students under the age of twelve (12) are not permitted to wait without a parent/guardian.
6a.i. To maintain a safe, smooth and respectful experience for all families, two (2) occurrences of early drop-offs or late pick-ups of 15 minutes or more will result in an additional $20 supervision fee per occurrence. In cases where this becomes a recurring issue, enrolment may be terminated.
6b. For safety reasons, if your child is twelve (12) or younger, please come inside to pick them up from their class when the class is over.
7. RESPECT OF MATERIALS AND SPACE
7a. To maintain a welcoming and inclusive space for all families, students are encouraged to treat all instruments, equipment, and studio materials with care and respect. In the event that studio property is damaged or broken due to misuse, the family will be responsible for covering the cost of repair or replacement. Thank you for helping to keep the space safe and well cared for by everyone in the community.
7b. To maintain a safe, welcoming space for all families, members (including children and parents/guardians) are expected to treat teachers, students, and fellow members with respect. Disruptive, unsafe, or aggressive behaviour—including repeated boundary violations—may result in removal from the class or termination of membership at MMA's discretion.
8. MEMBERSHIP CANCELLATION
8a. Member-Initiated Cancellations – To help give our teachers a consistent schedule, we require that you provide at least 30 days' written notice (via email) if you wish to cancel your membership. This notice may only take effect after your initial 3-month commitment, as outlined in Section 3b. Your membership will end 30 days from the date we receive your notice, and your final payment will be prorated if notice is given after the 1st of the month.
8a.i. Verbal notice given to a teacher will not be acted upon and is not valid unless confirmed in writing to MMA management by the Member.
8a.ii. No refund or credit will be provided for any cancellations before the end of a fixed length program (e.g., workshop, camp, trial, or Poppin’ Playdate).
8b. MMA-Initiated Cancellations – If MMA needs to cancel a lesson agreement, we will do our best to provide 30 days' notice to the Member. If payment had already been made for lessons beyond the cancellation date, a credit will be applied to your account.
8b.i. In rare and serious cases (such as damage to MMA property, harassment of staff or other families, or a significant breach of studio policies), MMA reserves the right to end a student's membership immediately and without refund or credit for any remaining lessons.
8c. Cancellation During Initial Commitment – As outlined in Section 3b, all new registrations begin with a three-month minimum commitment to support a positive and consistent start. Members are welcome to provide 30 days' written notice at any time, but cancellations will only take effect after the full three-month period is complete.
9. FEE PENALTIES
9a. If the first attempt to charge a fee is unsuccessful, Opus1.io will automatically try to charge up to four times over two weeks. If the charge is not successful after four attempts, the subscription will automatically be canceled. The Member’s subscription can be reinstated with full payment and a $20 late payment fee.
10. CHANGES TO STUDIO POLICIES AND PRICING
10a. The Studio Policies described above are agreed to upon enrollment and may be updated at any time by MMA without providing notice to the Member. Any updates will be reflected on our website, in the member’s Opus1.io account, linked in each newsletter, and are available by request.
10b. MMA reserves the right to increase monthly tuition each calendar year. Should MMA change the monthly fee, it shall provide a 30-day notice before the start date of the calendar year via email to all Members regarding such changes.
11. PHOTO AND VIDEO CONSENT AND RELEASE
11a. MMA owns and reserves the right to use any film/media/still photographs of students for appropriate promotional purposes, including but not limited to printed materials, online and offline advertising and promotion, and social media. Any identifying information will not be used in conjunction with any video or digital images.
11b. Members must inform MMA in writing at any time if you will not allow the use of such images.
